How we run the engagement

Four phases, no shortcuts

Same sequence whether you have 25 staff or 250.

1. We check what Copilot would see

We go through who can open what in SharePoint, OneDrive and Teams, find the folders shared with everyone, and check how staff sign in. You get a written report and a fixed quote for the clean-up before a single Copilot licence is bought.

2. We fix the sharing

Copilot can show anyone anything they already have access to, even if they never knew it was there. We remove old access, label sensitive files such as payroll and client records so they cannot be shared by mistake, and hide sites from Copilot until they are cleaned up.

3. Pilot rollout and enablement

We start with a controlled pilot group across two or three departments. We measure actual usage, capture genuine productivity wins, and document the prompts and patterns that work in your business. We also identify the staff who will not use it, because Copilot ROI depends on adoption, not licences.

4. Full deployment and governance

Once the pilot proves value and the data governance work is in place, we roll Copilot out organisation-wide. We document acceptable use, deploy the Copilot Dashboard for ongoing reporting, monitor usage patterns and continue uplift work as new sensitive data lands in the tenant.

What each Microsoft 365 Copilot tier actually gives you

There are four official Microsoft 365 Copilot tiers that matter for Australian businesses. The big difference is not the price. It is whether Copilot grounds its answers in your own SharePoint, OneDrive and Teams data, whether it runs inside Word, Excel and Outlook, and whether you also get the security tooling around it. Prices below are per user, annual term, ex GST, with the yearly figure including the 10 per cent GST.

Microsoft 365 Copilot Chat

Included

Secure, web-grounded AI chat powered by the latest large language models, with Copilot in select Microsoft 365 apps and enterprise data protection managed by IT. You can access agents on a metered basis, which needs an Azure subscription. It does not ground responses in your SharePoint, OneDrive or Teams data, so it works as a general assistant rather than one that reads your files. Included at no extra cost for anyone with a Microsoft Entra account and an eligible Microsoft 365 plan.

Microsoft 365 Business Standard with Copilot

Most common starting point

Copilot inside Word, Excel, PowerPoint, Outlook and Teams, with AI chat grounded in your own work data and access to reasoning AI for research and data analysis. You also get desktop and mobile Office apps, business email, Teams calling and meetings, 1 TB of OneDrive storage per user, and more than ten extras including Loop, Clipchamp, Bookings, Planner and Forms. Identity and access management covers up to 300 users. The Copilot licence is built into the Microsoft 365 plan rather than added on top.

Microsoft 365 Business Premium with Copilot

Copilot plus security

Everything in Business Standard with Copilot, plus the security stack most Australian businesses eventually need: advanced identity and access management through Entra ID, Intune for device management and app protection, Microsoft Defender threat protection against viruses and phishing, and Microsoft Purview for discovering, classifying and protecting sensitive data. Same 300-user cap. Choose this when you want Copilot and a proper security baseline in one plan, rather than bolting security on later.

Businesses up to 300 seats in regulated or target-rich sectors that need Copilot plus device and data security.

Microsoft 365 Copilot (enterprise add-on)

Enterprise or 300+ seats

Copilot inside Word, Excel, PowerPoint, Outlook and Teams, with AI chat grounded in your business data, Copilot Studio for building and using agents, and enterprise-grade security, privacy and compliance. This is an add-on, so it needs a separate qualifying Microsoft 365 enterprise plan underneath it, such as E3 or E5. It is the path for organisations already on an enterprise agreement, or for businesses with more than 300 seats where the Business plans no longer apply.

Enterprise Microsoft 365 tenants, or businesses over 300 seats.

Copilot Chat is included with an eligible Microsoft 365 plan, but using agents requires an Azure subscription and is billed on a metered basis. The Business Standard and Business Premium with Copilot plans are the bundled SKUs for up to 300 users. Microsoft 365 Copilot as an enterprise add-on needs a separate qualifying Microsoft 365 plan. Copilot Cowork is billed separately on a usage basis, so it is not part of the cards above. Copilot Studio is capacity-based at about US$200 a month with extra messages available to purchase.
