The four numbers that set the price floor
Managed IT pricing in Australia is shaped by four reference points: total market spend, the percentage of revenue businesses allocate to technology, the cost of a single breach, and the going rate for a senior ICT manager. Every quote is built on top of these numbers.

Australian IT spend 2026
Gartner forecasts total Australian IT spending will exceed A$172.3 billion in 2026, an 8.9% rise on 2025. Public cloud alone is tracking to A$33.6 billion (17.9% YoY).

A note before the dashboard
“The product is not deliverables. It's engineering capacity, tooling, and risk transfer. The deliverables follow from those three components, and so does the price.”
Real Bytes, on what every Australian MSP quote is actually built from
What's actually under every Australian MSP quote
Two things drive cost before any margin is added: the Australian wage base and the per-seat tooling stack. The table below shows real 2026 salary ranges from Clicks IT Recruitment, SEEK, Glassdoor and the ABS. The stack panel shows the platforms a serious MSP runs on every account.
The wage base, 2025-26
What Australian engineers actually cost
Base salary ranges from Clicks IT Recruitment, SEEK and Glassdoor 2026 data. The fully-loaded column adds 11.5% superannuation, leave loading, training, tooling and workspace. This is the wage floor under every Australian MSP quote.
Sources: ABS Employee Earnings and Hours May 2025, Clicks IT Recruitment 2026, SEEK Salary Guide 2026, Glassdoor Australia. Loaded multiplier of ~1.28 per Australian payroll norms.
The tooling stack, per user / month
~$41 to $79 per user before any engineer touches the keyboard
Retail per-seat costs for the platforms a serious 2026 Australian MSP runs. Most MSPs absorb 20 to 30 percent margin loss on tooling and earn it back on engineering time and project work.
With the wage floor and tooling stack in view, the next chapter shows the eight variables that move a quote up or down from that baseline.
Why two similar businesses can pay 60% different rates
A 40-staff Brisbane law firm and a 40-staff Brisbane construction firm can be quoted prices that differ by more than half. Neither provider is being unreasonable. The eight drivers below explain almost all of the variance.
What businesses of each size typically pay
Real monthly spend ranges across the Australian market in 2026. Per-user rates appear high at the small end because fixed overhead is absorbed across fewer seats. The green marker is the median.

The 2-to-7% rule
“Australian SMEs spend between 2% and 7% of annual revenue on technology. Managed IT support is typically 25 to 40 percent of that total. The rest is software, cloud, hardware and telecoms.”

Why $130 quotes have largely disappeared from the market
Between June 2025 and May 2026, the Australian regulatory and threat environment moved sharply. Cybercrime losses for small business rose 14 percent. The Privacy Act statutory tort commenced. Cyber insurers added MFA, EDR and immutable backups as baseline underwriting requirements. The combined effect lifted the price floor for serious managed IT by 15 to 25 percent.

Notifiable data breaches reported in 2024, rising again through 2025

$3.3M
Mid-tier civil penalty now issuable directly by the OAIC
Tranche 1 of the Privacy Act reforms commenced in 2024-25. The statutory tort for serious invasions of privacy is now in force. Maximum civil penalties for serious or repeated interferences with privacy remain up to $50 million for body corporates.

Mandatory
MFA, EDR, immutable backups now baseline underwriting requirements
Australian cyber insurers tightened underwriting through 2024-25. To bind cover at reasonable premiums, most SMEs now need MFA on email and admin accounts, EDR on every endpoint, current patching, immutable or offline backups, and a documented incident response plan.

With the regulatory floor set, providers package the same minimum stack in four common ways. The model shapes the contract but rarely the underlying cost.
How Australian MSPs structure pricing
Four common models, sometimes blended. The model matters less than the inclusion list underneath. A $130 quote with EDR, immutable backup and conditional access is genuinely cheaper than a $115 quote without them.
Per user / month
$85 to $350
Fixed amount per staff member, typically covering one laptop and one phone per person. The dominant model in Australia in 2026.
The catch
Some MSPs quote per user but bill per device. Confirm in writing.
Per device / month
$80 to $150
Flat rate per workstation, server or network device, regardless of who uses it.
The catch
Decouples IT cost from headcount. Can underprice the contract as endpoints multiply.
Tiered per-user
Three tiers
Different rates for light users, full users and executive users on one contract.
The catch
Only works if the tier definitions are documented. Ask for the inclusion sheet.
All-inclusive
$3.5k to $25k
One monthly number covering all users, devices and inclusions up to a defined ceiling.
The catch
Easy to overspend if headcount drops. Include an annual review clause.

What different Australian industries pay
The same headcount carries different real cost depending on what the business does and what data it holds. Health, finance and education sit higher because they remain the top three OAIC notifying sectors and carry sector-specific regulatory load.

The hidden multiplier
“The Australian Signals Directorate puts the average small business cybercrime incident at $56,600 in 2024-25, up 14% year on year. One ransomware event can wipe out the headline savings of a cheaper provider for the next four years.”

Break-fix versus managed services, modelled end to end
Break-fix support looks cheaper on the surface. When you model 12 months of typical incidents at the going Australian hourly rate of $180 to $280, the picture changes. The numbers below assume a 25-staff professional services firm.
Scenario: 25-staff Australian professional services firm
Break-fix vs managed services, modelled over 12 months
Break-fix support
Modelled annual cost
$35,910
38 incidents x 4.5 hrs x $210/hr
Worst-case scenario
$81,910
Add one ransomware incident (ASD average $46,000)
- Pay only when something breaks
- No proactive patching or monitoring
- No documented inclusion list
- No cyber insurance evidence trail
- Hourly rates spike outside business hours
Risk posture
High. One ransomware incident can exceed annual managed spend.
Managed services
Predictable annual cost
$57,000
$4,750 / month x 12 ($190 / user)
Delta vs break-fix
+$21,090/yr
Before one ransomware incident wipes out the difference
- Unlimited L1/L2 support, business hours
- EDR, M365 backup, MFA, conditional access
- Patching, monitoring, RMM included
- Documented quarterly security review
- Predictable budget for the CFO
Risk posture
Low. Budget known 12 months ahead.
At what size does internal IT make more sense than an MSP?
The ABS reports that full-time ICT managers in Australia earned an average of $3,402 per week before tax in May 2025, or around $177,000 per year. Add 11.5 percent superannuation, leave loading, training, tooling and workspace, and a senior internal IT hire lands closer to $215,000 fully loaded.
Spread that $215,000 across a 40-staff business and the per-user cost lands at around $450 per user per month before any tooling is bought. Add RMM, EDR, Microsoft 365 backup, ticketing and documentation, and the loaded cost of one internal hire is well above the all-inclusive cost of a serious managed IT relationship.
The maths typically flips between 80 and 120 staff. Above that point, a co-managed model usually wins. An internal IT manager handles strategy, proximity and project management. A managed service partner delivers helpdesk, after-hours coverage, security operations and specialist hours alongside them. Below 80 staff, the single hire cannot realistically deliver helpdesk, after-hours, security operations, M365 administration and strategy simultaneously and something has to give.
