Deployment Plan

Audit every room

Measure the room, count seats, check display size, power, network, and ceiling height. Document current cable and AV.

Standardise hardware by size

Pick one vendor per room size. Easier procurement, easier support, consistent user experience.

Create dedicated resource accounts

Each room gets an Entra ID resource mailbox and Teams Rooms licence. Consistent naming: room-<building>-<name>@domain.

Cable and mount properly

Not optional. Proper cable management, display at eye level, mic positioned for the room. Engage an AV integrator for rooms above 6 seats.

Common Mistakes

Buying consumer webcams for boardrooms

Logitech C920 on a tripod is not a boardroom solution. Proper camera, proper mics.

No touch console

One-tap join is the whole point of MTR. Skip the console, every meeting starts with fumbling.

Under-sized display

55" display in a 12-seat boardroom. Back row cannot read shared content. Size by furthest seat.

Poor acoustics

Glass walls, hard floors, no treatment. Expensive mics cannot fix a bad room. Acoustic panels matter.

Mixing certified and uncertified kit

Microsoft only supports certified bundles. Mixed systems fail firmware updates.

No management licence

Rooms Basic is fine for 1-2 rooms. Beyond that, Pro is essential for monitoring and updates.
