Business IT Solutions by Growth Stage
IT that works at 10 staff breaks at 30. What worked at 30 breaks at 60. Identity, security, processes, and MSP relationships all need to change at each stage. Doing it proactively is cheaper than reacting after problems surface.
The business IT solutions that suit a five-person team are not the ones that hold up at 60. Each stage below sets out what matters most, the traps we see most often, and the point at which it makes sense to bring in a managed service provider rather than stretch the same setup further.
Under 10 Staff
What matters most
- Microsoft 365 or Google Workspace set up properly
- MFA on everything
- Backup of M365 data
- EDR on every device
- One password manager for everyone
- Written IT policy even if one page
Common traps
- Shared logins to SaaS tools
- No offboarding plan
- Consumer-grade laptops
- No MSP, everything depends on one technical person
10-30 Staff
What matters most
- Microsoft 365 Business Premium for all staff
- Intune for device management
- Conditional Access policies
- Shared SharePoint structure, not personal drives
- Engage an MSP
- Documented onboarding and offboarding
Common traps
- Files still on a personal OneDrive
- No business-grade backup of M365
- Admin rights to everyone
- Home routers acting as business firewalls
30-60 Staff
What matters most
- Formal MSP relationship with SLA
- Essential Eight Maturity Level 1 as minimum
- Security awareness training quarterly
- Proper SOE (standard operating environment) for Windows / Mac
- MFA phishing-resistant for admins
- Cyber insurance with evidence of controls
Common traps
- Inconsistent devices and apps across teams
- Ad-hoc provisioning for each new starter
- No documented incident response
- Shadow IT (staff buying their own SaaS)
60-100 Staff
What matters most
- Internal IT lead + MSP (co-managed)
- Essential Eight Maturity Level 2
- MDR or 24/7 SOC service
- Formal IT risk register
- Documented BCP / DR plan
- Procurement and asset lifecycle tracked centrally
- Quarterly IT steering meetings
Common traps
- Single MSP relationship with no fallback
- No internal IT oversight
- Security spend led by the MSP not the business
- Board never sees IT risk reporting
100+ Staff
At this scale, IT is a business function in its own right. Dedicated leadership, vendor management, security programme, and compliance.
- IT Manager or Head of IT as a dedicated role
- Co-managed IT or in-house service desk
- Security operations (MSSP or internal SOC)
- Certification pathway (SMB1001, ISO 27001, IRAP where applicable)
- Formal change management and project governance
- IT budget as a percentage of revenue tracked against benchmarks
- Regular penetration testing and red team exercises
Common Mistakes
Outgrowing the IT model without noticing
Systems that worked at 20 staff creak at 50. Review every time headcount jumps by 50%.
Hiring an IT manager too late
Beyond 50-60 staff, managing the MSP alone becomes a full role. Hire proactively.
Buying tools instead of fixing process
More software layered on broken process makes it worse, not better.
Not aligning IT to strategy
If the business is growing into new sites or new markets, IT needs to know 12 months early.
Keeping the same MSP beyond their capacity
Outgrowing the MSP is normal. Review at each stage.
