Meeting platforms compared
Webex, Zoom, Teams or Google Meet: pick the one you already pay for.
For most Australian businesses, the meeting platform is decided by the suite you already have. Microsoft 365 includes Teams, Google Workspace includes Meet. Zoom and Webex earn their place for specific jobs. Here are the Australian prices and limits for each, checked on 30 October 2026, and when we would add a second tool.

Our view
One platform for your own people, and join theirs when invited.
Real Bytes runs on Microsoft 365, and our clients can log support requests with us inside Teams. So we are biased towards Teams for businesses already on Microsoft 365, and we say so. It is already paid for, and it keeps meetings, chat and files in one place.
The rule we give clients is simple: one platform for your own staff, and join whatever the other side sends. Nobody needs a Zoom licence to join a Zoom meeting, or a Webex licence to join a Webex one.
We only add a second paid platform when a few people genuinely host large external meetings or webinars. Then it is a handful of licences for those hosts, not one for everyone.
When Teams is the wrong choice
Three cases where we would not default to Teams.
- You run Google WorkspaceMeet is included and joined from Calendar. Adding Teams means a second set of accounts.
- You host webinars every weekA few Zoom licences, with a webinar add-on, can be worth it for the people who run them.
- You already run Cisco callingIf your phones and meeting rooms are Webex, staying on Webex can be simpler than mixing.
Mistakes we see
Five ways businesses overpay for meetings.
- Two paid platforms for everyonePick one for your own staff. Keep a few licences of the other for hosts who need them.
- Buying Zoom to talk to clients who use ZoomGuests join free from a browser. You only need a licence to host.
- Paid licences nobody remembersCheck card statements for meeting subscriptions bought by individual staff.
- Teams with no structureWithout agreed teams and channels, files scatter and people go back to email.
- Meeting rooms without the right gearA laptop on a table is not a meeting room. Certified room kits make every call easier.
How we standardise
From three platforms to one, in four steps.
- Step 1Find what you pay for
Licences in your tenant, plus subscriptions on staff cards.
- Step 2Decide the default
Usually the platform in the suite you already run.
- Step 3Set it up properly
Teams and channels, guest access, recordings and meeting policies.
- Step 4Cancel the rest
At renewal, with the few exceptions agreed and named.

Questions
What people ask about Zoom, Webex, Teams and Meet.
Is Webex, Zoom or Teams better for a small business?
If you already have Microsoft 365, Teams, because you already pay for it and it is where your files and chat live. If you run Google Workspace, Google Meet for the same reason. Zoom earns a place for businesses that host a lot of client meetings or webinars. Webex suits organisations already on Cisco calling or with specific compliance needs.
How much do Zoom, Webex and Teams cost in Australia?
Per user per month, as listed on 30 October 2026: Microsoft Teams Essentials A$6.00 ex GST (annual); Zoom Workplace Pro A$21.66 and Business A$27.83 ex GST (billed annually); Webex Starter A$17.50 and Business A$24.50 (billed annually); Google Workspace Business Starter A$9.90 on the flexible plan, with email and storage included.
What are the free plan limits?
Zoom's free plan allows 40-minute meetings for up to 100 participants. Webex Free allows meetings up to 40 minutes with up to 100 attendees. Paid plans lift the time limit to 30 hours on Zoom and 24 hours on Webex Starter.
How many people can join a meeting?
Zoom Workplace Pro allows 100 participants and Business 300. Webex Starter allows 150 and Business 200. Google Workspace allows 100 on Business Starter, 150 on Standard and 500 on Plus.
Can we use Teams with clients who use Zoom?
Yes. Guests can join each platform from a browser without a licence. When a client sends a Zoom or Webex invite, your staff join theirs; when you host, you send yours.
Does Teams replace our phone system?
It can, with Teams Phone at A$15.00 a user a month ex GST plus calling. Whether it should depends on how your calls are handled now. We cover the options on our Teams Phone and hosted voice pages.
