Laptop buying guide
Buy the laptop for the work, not the job title.
The processor badge matters less than the memory you cannot upgrade later, the dock it has to drive, the Windows edition it ships with and what happens when it breaks. Here is what to check, starting specs by role, and a picker that gives you a configuration to put on a quote.
Starting specs are Real Bytes recommendations, not vendor minimums. Checked 30 October 2026.

What we see
Five laptop buying mistakes we see.
Each one costs more than the price difference that caused it.
Windows Home
Cheaper retail laptops ship with Home, which cannot be set up with Autopilot.
- Pro or business edition
- Checked on the quote
- Upgrade costed
8 GB soldered memory
Fine on the day, slow within a year, and it cannot be upgraded.
- 16 GB baseline
- 32 GB for heavy work
- Checked before ordering
The dock does not work
USB-C does not guarantee charging or two screens.
- Laptop, dock and cable together
- Screens tested
- One standard dock
Return-to-base warranty
The laptop is away for two weeks and nobody planned a spare.
- Onsite cover for critical roles
- Spare device
- Files in the cloud
Arm without testing
A printer, VPN or specialist app has no Arm driver.
- Pilot one first
- Drivers checked
- Apps tested
Laptop spec picker
Get a starting spec for the role.
Pick the role, the screens on their desk and the processor type. You get a configuration to put on a quote and the checks to make first.
Three questions. You get a starting configuration to put on a quote and the checks to make before ordering.
Starting spec: Finance and big spreadsheets
32 GBmemory, 512 GB to 1 TB SSD
Integrated graphics. A starting point for a quote, not a minimum requirement.
- Windows 11 Pro or another business edition, not Home, so it can be set up with Autopilot and Intune.
- Check the laptop, dock and cable together drive two external screens at the resolution you need.
- Find out whether memory is soldered. If it is, buy what you need now.
- Choose the warranty on downtime: onsite next business day for critical roles, and plan a spare.
- Test your largest real workbook with its add-ins and reporting tools.
Starting points
Starting configurations by role.
| Role and workload | Starting configuration | Check before ordering |
|---|---|---|
| Office and administration | 16 GB memory and 512 GB SSD; integrated graphics usually suit documents, email and browser applications. | Open a video meeting, the usual browser tabs and the largest everyday document together. |
| Finance and data analysis | Consider 32 GB memory; size storage around working files and the approved sync policy. | Test a real workbook, reporting add-ins and the external monitor arrangement. |
| Engineering, development and design | Consider 32 GB or more memory and 1 TB storage; choose graphics against the application requirements. | Check software vendor certification, project size, virtual machines and sustained performance. |
| Travelling and client-facing staff | Use the office baseline, then prioritise carry weight, display readability and measured battery life. | Test the complete bag weight, video calls away from power and the intended mobile connection. |
| Reception and shared use | Choose a manageable, serviceable build suited to the actual shared workflow. | Confirm individual access, shared-device licensing, peripheral drivers and a replacement device plan. |
These are starting points for a shortlist. Test a real workload on one device before ordering several.
Beyond the badge
Six checks that matter more than the processor badge.
- Memory you cannot upgrade laterCheck whether it is soldered. 16 GB for office work, 32 GB for heavier work.
- Storage for the working set512 GB is a sensible office start. A laptop is not a backup.
- A processor for the whole workflowCheck software support and sustained performance, not the sticker.
- Ports that work with your dockTest laptop, dock, cable and screens together.
- A screen and camera staff can useCheck glare, text size and video call quality.
- Battery life under real useIndependent tests at your brightness and apps, not the brochure figure.
Compatibility
Check the Windows edition and Arm compatibility before paying.
Microsoft lists Windows 11 Pro and other supported business editions for Windows Autopilot. Windows Home is not on that list. The device also needs the right management and identity licensing, registration and configuration; a Pro licence alone does not enrol or secure it.
Microsoft states that drivers on Windows Arm-based PCs must support that architecture. Application emulation does not remove this requirement. Test your security agent, VPN, printers, specialist peripherals, add-ins and accessibility tools before committing to an Arm fleet.
When it breaks
A service response is not a guaranteed repair time.
Compare the service entitlement for the exact model and work location. Return-to-base, onsite service and accidental damage cover are different purchases. Ask about remote diagnosis, parts availability, batteries, international use and what happens while a device is being repaired.
Dell describes onsite service after remote diagnosis. Lenovo qualifies next business day onsite support by market and availability. HP provides a device-specific Australian Care Pack finder. None of those statements is a promise from Real Bytes that every laptop will be repaired the next day.
From day one
Encryption, recovery and a retirement record belong in the purchase plan.
- Enrolled before handoverAutopilot and Intune set up so the laptop arrives managed.
- Encryption with keys storedBitLocker on, recovery keys stored centrally.
- Asset recordedOwner and serial number recorded so a lost device can be identified.
- Wiped properly at the endA sanitisation method suited to the storage and data, with a record. ASD's media guidelines cover this.
Our view
Standardise on one or two builds.
Pick one standard build for most staff and one for heavy users, with the same dock. It makes support, spares and replacements simpler, and it is easier to get consistent pricing.
Then buy on total cost: the laptop, dock, warranty, setup and the cost of the person being without it for a week. The cheapest laptop is rarely the cheapest outcome.
The order
Buying business laptops in four steps.
- Step 1Define the role
Apps, screens, travel and how long they can be without it.
- Step 2Quote and pilot
Full configuration on the quote, one device tested.
- Step 3Set up and hand over
Enrolled, encrypted, apps and files checked.
- Step 4Review a month in
Battery, dock and performance issues fed back into the standard.

Questions
What people ask about business laptops.
What specifications should a business laptop have in 2026?
For a typical Windows office role, 16 GB of memory and a 512 GB SSD are useful shortlist starting points, not universal minimum requirements. Check the actual applications, memory upgrade options, display, dock and service entitlement. Larger files, development and design workloads may justify more memory, storage or specialist graphics.
Do all business laptops need Windows 11 Pro?
No, the edition depends on your deployment requirements. Microsoft lists Pro and other supported business editions for Windows Autopilot, but not Windows Home. Confirm the operating system, management and identity licensing together before buying; a Pro licence alone does not configure the device.
Can we use Windows Arm laptops for business?
Yes, if the complete workflow is compatible. Microsoft states that drivers must support Windows on Arm. Test business apps, security and VPN agents, printers, docks, specialist peripherals and accessibility tools before committing to a fleet; application emulation does not remove driver requirements.
Which laptop brand is best for our business?
There is no single best brand for every business. Compare the exact Dell, HP or Lenovo configuration against your apps, existing fleet and support needs. Check current range names and Australian availability, and pilot a device before a larger order.
Does next business day onsite support guarantee a repair the next day?
No. The service entitlement can depend on diagnosis, location, parts and the terms of the selected support package. Confirm the conditions for the exact device and keep a replacement plan for a critical role. A response commitment is not necessarily a completed repair.
How often should we replace business laptops?
Replace a laptop when support, condition, reliability or workload requirements justify it, not at one fixed age. Review firmware and operating system support, battery health, repair cost and downtime risk. Before resale or recycling, verify and record suitable storage sanitisation.
What is a good value laptop for finance work?
Look at the mainstream business ranges rather than the premium ones: for example HP ProBook alongside EliteBook, or ThinkPad E and L series alongside T and X, and the equivalent tiers in Dell's Pro range. For heavy spreadsheets, prioritise 32 GB of memory and a good screen over a premium chassis, and check the warranty.
