Microsoft 365 Copilot

Copilot reads everything your staff can open. Including the files they shouldn't.

Before you buy licences, we find the folders and sites shared too widely and fix them. Then we switch Copilot on for a small group, show each team how to use it on their own work, and roll it out once it's saving time.

After that, when something stops working, you call the engineers who set it up.

Copilot readiness check

Eight things to have in place before Copilot.

Tick what's true today. The gaps are what we'd fix in phase two.

Tick what's true for your tenant today. If you're not sure, leave it unticked: that's usually the answer.

Where you stand

8 gaps to close.

  • No sites open to everyone by defaultCopilot answers from whatever a person can open, including forgotten shares.
  • No organisation-wide or anyone links on sensitive filesA link anyone in the business can use is enough for Copilot to find the file.
  • Every site has an ownerOwnerless sites are where oversharing hides.
  • Old sites archivedStale content makes answers worse and adds risk.
  • Sensitive files labelledLabels add a second layer of control on top of permissions.
  • Phishing-resistant sign-inA stolen account with Copilot can search everything that account can open.

The real risk

Copilot doesn't create new access. It finds old access.

Copilot only shows a person what they can already open. The risk is that most tenants have years of folders shared with everyone, links anyone in the business can use, and sites nobody owns.

Microsoft's own preparation guide starts with the same cleanup we do: owners on every site, inactive sites archived, sharing tightened and overshared sites found and fixed.

  • Find itData access governance reports show broad links and sites open to everyone.
  • Hide it while you fix itRestricted Content Discovery keeps a site out of Copilot without changing its permissions.
  • Archive itDead sites out of the way.
  • Label itSensitivity labels on what matters most.

Restricted Content Discovery is part of SharePoint Advanced Management, which Microsoft includes with Microsoft 365 Copilot or sells as an add-on. We check what your licences include. The older Restricted SharePoint Search can't be newly turned on from 31 July 2026.

Questions

What people ask about Copilot.

Can we just buy licences and start?

You can, but Copilot will find every permission mistake already in your tenant. A readiness check first, then a cleanup of the worst sharing, then a pilot, is safer and usually gets better adoption.

Where is our Copilot data stored, and does Microsoft train on it?

Australian tenants are covered by Microsoft's data residency commitments for Copilot in its Product Terms. Microsoft says prompts, responses and the files Copilot reads aren't used to train its foundation models.

What does the licence cost?

Copilot Chat is included with Microsoft 365 business plans. Microsoft 365 Copilot Business is A$26.91 a user a month ex GST on a first-year promotion to 31 December 2026, then A$31.40. Business Standard with Copilot is A$35.20 and Business Premium with Copilot A$47.90.

What does your work cost?

After the readiness check we quote the cleanup and the rollout separately, at our project rate of $195 an hour ex GST. A tidy tenant needs little cleanup. Years of folders shared with everyone needs more.

Should we deploy Copilot now or wait?

Knowledge work businesses usually see value sooner. Field and operational businesses often see less. We'll tell you honestly in the readiness check, including if the answer is to wait.

Can staff use Copilot in a browser?

Yes. The Microsoft 365 Copilot app runs in a browser at m365.cloud.microsoft as well as on Windows, Mac, iOS and Android. We make sure staff sign in with their work account, not a personal one.
