Why Is Our IT So Slow?

The most common causes of slow IT. WiFi, DNS, hardware, cloud sync, internet, and unmanaged endpoints. How to diagnose each one and what actually fixes it.

Overview

"IT is slow" is the most common ticket in Australian SMBs. The cause is rarely obvious. Usually it is a stack of small issues: WiFi design, DNS choice, old hardware, cloud sync misconfiguration, weak internet. Fix the big ones and the whole environment jumps back to life.

WiFi and Network

The top cause. Old APs, bad placement, overloaded channels, wrong band usage.

  • Too few access points for the space
  • Single AP trying to cover multiple floors
  • All clients on congested 2.4 GHz instead of 5 GHz
  • APs on overlapping channels
  • Consumer-grade APs in a business environment
  • Old 802.11n equipment that should have been replaced
  • No wireless survey ever done

Internet Connection

  • Residential NBN plan on a business (no QoS, no SLA)
  • Asymmetric connection with tiny upload (cloud backup, Teams call quality drops)
  • No failover, one outage takes everything down
  • Router is the consumer grade unit from the ISP
  • No QoS for voice and video traffic

DNS

Every page load, every email lookup, every app start begins with DNS. Slow DNS feels like slow everything.

  • Using the ISP resolver (slow, no filtering, no logging)
  • Default Windows domain controller DNS with no internet forwarder
  • No DNS caching at the network level
  • Browsers silently using their own DoH to overseas resolvers

Old Hardware

  • Spinning hard drives (HDD) still in use. NVMe SSD is significant.
  • 8 GB RAM on Windows 11 with Teams open
  • Processors more than 5 years old
  • Monitors, keyboards, and docks that drop video or power
  • Outdated firmware on BIOS / SSD / dock

Cloud Sync Issues

  • OneDrive or Drive syncing huge folders the user does not need
  • Known Folder Move syncing the whole desktop and downloads folder
  • Sync conflicts thrashing the disk
  • Office autosave hammering cloud storage with version history
  • Multiple cloud sync clients running at once (OneDrive + Dropbox + Drive)

Unmanaged Endpoints

  • Missing or misconfigured endpoint protection running full scans mid-day
  • Unmanaged browser extensions consuming CPU
  • Rogue startup apps and services
  • Years of accumulated "helper" apps from various vendors
  • Background telemetry from unmanaged software

Common Mistakes (What Not to Do)

Buying faster internet without checking WiFi

Bottleneck is the WiFi, not the pipe. 1 Gbps NBN does nothing behind a two-AP weak signal.

Replacing laptops without fixing cloud sync

New laptop feels great for a week, then the same sync issues drag it down.

Blaming Microsoft for everything

Most slowdowns are network and local. Isolate the layer before blaming the provider.

Ignoring the RMM telemetry

Disk health, RAM usage, network latency. The data is already collected. Review it.

Upgrading one piece in isolation

Interconnected problems. Fix the stack, not just the loudest complaint.
