Microsoft 365 licensing guide

Microsoft 365 licensing in Australia: what each plan costs and which one to buy.

Most businesses under 300 people should be on Business Premium. It is A$32.90 a user a month ex GST, A$11.90 more than Business Standard, and it adds the device management, device protection and sign-in controls that Standard leaves out. Below are Microsoft's Australian prices as at 30 October 2026, the add-ons worth paying for, and a calculator for your own numbers.

Five questions that decide your licence

Answer these and the plan picks itself.

Licensing looks complicated because Microsoft sells dozens of plans. For a business under 300 people, five questions settle almost every case.

Do people need desktop Office apps?

Business Basic gives email, Teams, SharePoint and OneDrive with the web and mobile apps only. Anyone who works in desktop Word, Excel or Outlook needs Standard or Premium.

  • Basic: A$10.50
  • Standard: A$21.00
  • Premium: A$32.90

Our view

Business Premium is our default, and the maths backs it.

Every Real Bytes managed tenant gets Conditional Access, including our standard rule that limits sign-ins to Australia. Conditional Access needs Entra ID P1, and Business Standard does not include it.

You can buy Entra ID P1 on its own for A$10.50 a user. Add that to Business Standard at A$21.00 and you pay A$31.50, just A$1.40 less than Business Premium, without Intune, Defender for Business, Defender for Office 365 or information protection. That is why we put Premium on everyone who uses a computer for work.

We are careful with the add-ons. Entra ID P2 goes on the admins, not the whole business. Copilot goes on the people who will use it, after a few weeks on the free Copilot Chat shows who that is.

Add-ons

The add-ons worth knowing, with Australian prices.

Per user per month, ex GST, annual billing, from Microsoft's Australian pages on 30 October 2026.

  • Entra ID P2: A$15.00

Privileged Identity Management, ID Protection, risk-based Conditional Access and access reviews. Included in Microsoft 365 E5 and E7.

  • Entra ID P1: A$10.50

Conditional Access and self-service password reset. Already in Business Premium and Microsoft 365 E3, so rarely worth buying on its own.

  • Teams Phone: A$15.00

Calling in Teams. Microsoft's Australian page lists bundles with calling from A$19.50 to A$50.90, depending on the calls included.

  • Power BI Pro: A$21.00

To share Power BI reports. Premium Per User is A$35.90.

  • Copilot

Business Premium with Copilot A$47.90. Copilot Business add-on A$31.40, or A$26.91 in the first year for purchases by 31 December 2026. Enterprise add-on A$44.90.

  • Defender for Office 365 Plan 1

Safe Links and Safe Attachments. In Business Premium, and since 1 July 2026 also in Office 365 E3 and Microsoft 365 E3.

PIM licensing

Who needs Entra ID P2 for PIM.

There is no PIM licence on its own. PIM comes with Entra ID P2 or Entra ID Governance. Microsoft says these people need the licence:

  • Admins with eligible or time-bound rolesAnyone whose admin role is managed through PIM.
  • Members and owners of PIM for GroupsIf you use groups to hand out admin access.
  • People who approve or reject activationsOften a manager or a second admin.
  • People in or running access reviewsBoth those assigned to a review and the reviewers.

Example: a 50-person business with three admins and one approver needs four P2 licences, about A$60 a month ex GST, not fifty. If P2 lapses, Microsoft removes eligible role assignments, so keep an emergency admin account with a permanent assignment.

What changed in July 2026

Microsoft's 1 July 2026 price and package changes.

From Microsoft's licensing news. The percentages are Microsoft's global changes; the Australian prices above are the ones in force now.

  • Business Basic up 16%, Business Standard up 12%Business Premium did not change, which narrowed the gap to Premium.
  • Office 365 E3 up 13%, Microsoft 365 E3 up 8%, E5 up 5%Frontline plans rose too: F1 by 33% and F3 by 25%.
  • Defender for Office 365 Plan 1 added to E3Now included in Office 365 E3 and Microsoft 365 E3, per Microsoft's service description.
  • More in Copilot ChatMicrosoft added inbox and calendar awareness and Word, Excel and PowerPoint agents to Copilot Chat in the business plans.

When Business Premium is the wrong choice

Three cases where we would not put everyone on Premium.

  • You have more than 300 peopleThe Business plans stop at 300 seats in total. Microsoft 365 E3 at A$58.40 is the usual step, with E5 where you need P2 and advanced Defender for everyone.
  • Some staff only need email and never use a work computerBusiness Basic at A$10.50 can suit them, as long as you accept their phones and any devices they use are not managed by Intune.
  • Staff share a kiosk or work on the floorMicrosoft's frontline F plans exist for this. We quote those case by case.

Mistakes we see

Six licensing mistakes that cost money.

  • Business Standard plus security bought separatelyStandard plus Entra ID P1 alone is only A$1.40 less than Premium, before you pay for device management or protection.
  • Paying month to month for staff who are not going anywhereMonthly billing on Business plans costs 20% more than annual.
  • Licences for people who have leftStaff leave and licences stay. Check licences against the staff list every quarter.
  • Entra ID P2 on every userPIM only needs P2 for the people who use it: admins, approvers and reviewers.
  • Copilot for everyone on day oneCopilot Chat is already included. Watch who uses it before buying paid seats.
  • Forgetting the 300 cap counts every Business plan250 Premium seats leaves room for only 50 more across Basic, Standard and Premium.

Questions

What people ask about Microsoft 365 licensing.

How much is Microsoft 365 Business Premium in Australia?

A$32.90 per user per month ex GST on an annual subscription, or A$39.48 if you pay month to month. That is Microsoft's Australian list price as at 30 October 2026. Business Standard is A$21.00 and Business Basic A$10.50 on the same terms.

What is the difference between Business Standard and Business Premium?

Business Premium includes everything in Standard, plus Intune for device management, Defender for Business for device protection, Entra ID P1 for Conditional Access, Defender for Office 365 Plan 1 for email, and Purview Information Protection and data loss prevention. The difference is A$11.90 per user per month ex GST on annual billing.

How much does PIM cost?

Privileged Identity Management needs Entra ID P2 (or Entra ID Governance). P2 is A$15.00 per user per month ex GST in Australia and is included in Microsoft 365 E5 and E7. You license the people who use PIM, such as admins with eligible roles and the people who approve activations, not every user.

How much does Microsoft 365 Copilot cost in Australia?

For Business plans, Business Premium with Copilot is A$47.90 and Business Standard with Copilot A$35.20 per user per month ex GST. Copilot Business as an add-on is A$31.40, or A$26.91 for the first year on Microsoft's promotion for purchases between 1 July and 31 December 2026. The Microsoft 365 Copilot enterprise add-on is A$44.90. Copilot Chat is included with Microsoft 365 business plans at no extra cost.

Can we mix Business and Enterprise plans in one tenant?

Yes. Microsoft says Business Premium can be combined with Office 365, Enterprise Mobility and Security, Azure and Dynamics 365 plans. The limit is 300 seats in total across all Business plans, so a business that grows past 300 people moves to enterprise plans.

Is monthly or annual billing better?

Annual is cheaper. Microsoft's monthly-billed prices for the Business plans are 20% higher, for example A$39.48 against A$32.90 for Business Premium. Monthly makes sense only for seats you expect to drop within the year.

Did Microsoft 365 prices go up in July 2026?

Yes. From 1 July 2026 Microsoft raised Business Basic by 16%, Business Standard by 12%, Office 365 E3 by 13%, Microsoft 365 E3 by 8% and E5 by 5%. Business Premium did not change. Those are Microsoft's global percentages; the Australian prices on this page are the ones in force now.
