Question 1

What is SharePoint used for?

Accepted Answer

SharePoint is a content management and collaboration platform. It's used for document management, team sites, project collaboration, intranet portals, and records management. Most organisations use it but don't use it effectively.

Question 2

Do we need dedicated SharePoint management?

Accepted Answer

Yes, if your organisation has more than 5 active SharePoint sites. Poorly configured SharePoint leads to duplicate files, security risks, and low adoption. Professional management ensures governance, security, and optimal user experience. Real Bytes starts SharePoint management from approximately $100-200/month.

Question 3

Can Real Bytes migrate us from legacy file servers to SharePoint?

Accepted Answer

Yes. We handle discovery of legacy file shares, document classification, migration planning, and data transfer to SharePoint. We also train teams on the new collaborative workflow.

Question 4

What's included in SharePoint management?

Accepted Answer

Our SharePoint management includes site architecture design, user access management, site permissions, external sharing controls, information architecture, retention policies, DLP configuration, eDiscovery setup, performance tuning, storage management, usage analytics, and end-user support.

Question 5

How do you ensure SharePoint compliance?

Accepted Answer

We implement retention policies to comply with data protection regulations, configure Data Loss Prevention (DLP) rules, set up eDiscovery for regulatory requests, and align SharePoint governance with your compliance requirements including GDPR, Privacy Act, and industry-specific standards.

Question 6

What's involved in site architecture design?

Accepted Answer

Real Bytes designs your SharePoint structure based on your organisation's structure, workflows, and data classification. We determine hub site configurations, team site hierarchy, information architecture, taxonomy and metadata strategy, and search optimisation.

Question 7

How do you improve SharePoint adoption?

Accepted Answer

We provide structured training programs, create user documentation and guides, establish governance policies that are user-friendly, monitor adoption metrics, and make recommendations to improve engagement. Low adoption is usually a training and governance problem, not a technology problem.

Question 8

How do you secure SharePoint from external threats?

Accepted Answer

We configure external sharing policies, implement conditional access rules, set up advanced threat protection for email integration, monitor for suspicious activity, and implement security baselines aligned with ACSC recommendations.

Question 9

How do you optimise SharePoint performance?

Accepted Answer

We identify and remediate performance bottlenecks, optimise search, tune site provisioning, manage large lists and libraries, reduce storage bloat, and implement caching strategies. Performance issues are often caused by poor governance, not the platform.

Question 10

Can you help with document retention and deletion?

Accepted Answer

Yes. We implement retention policies to automatically manage document lifecycle, configure deletion schedules, set up recycle bin management, and ensure compliance with records management requirements. Unmanaged SharePoint storage grows exponentially without proper policies.
